Debbie starts with a walkthrough of ClickLearn Attain for Edward briefly explaining the core features on the way. They start with the Projects screen, where Debbie explains what ClickLearn Projects are and how these help in organizing your learning materials. 

Projects

ClickLearn projects are folder-like structures that help authors to organize their recordings or learning materials based on various criteria. These projects are customizable as per your requirements, help to segregate data efficiently, and help you collaborate better with your team members who are working simultaneously on the project. 

While creating learning materials for your organization, you might want to categorize these into distinct projects. For example, you might want to create different learning projects for different departments. Similarly, you might want to segregate learning materials or recordings based on knowledge, skills, and experience levels of employees.  

When you organize your learning materials into distinctive projects, it is easier to assign these to different authors who can be in charge for managing their respective projects. Projects enable true collaboration on several tasks such as authoring and reviewing, translation, and more.  

Proper classification of recordings in projects also helps avoid any duplicate recordings. You can add or link recordings from one project to another and organize recordings in your project into logical folders and sub-folders. 

For the learners also, it is much easier to locate the learning materials that they might need when these are structured into relevant projects. This saves learners time to search from a huge pile of recordings.  

So, it is a win-win situation both for authors and learners. 

Types of projects

Click Learn Attain provides you with options to create three different types of projects and customize these according to your preferences and requirements. Let us have a look at various types of projects available in ClickLearn Attain.

Content Project
A Content Project is the most common project type with which you probably would want to begin working in ClickLearn Attain. Select the Content Project type if you need to create and edit recordings. This project type also enables you to deploy recordings and create your learning portal. Multiple authors can collaborate to work on a single project simultaneously.

InsideHelp
The InsideHelp project type helps you to deploy context specific help for your business application. Selecting this option will deploy the recordings that are already available in ClickLearn Attain and integrate it with your CRM, NAV, or BC solution. 

Automated Process Testing
Select the Automated Process Testing (APT) project type to create automated process units. These testing units help you identify whether the flow is working fine after you have modified some diagram or data in the application. It provides you with a dashboard data that helps you make informed decisions.  

The APT project is a very advanced functionality and will require in-depth knowledge of both ClickLearn Attain and your own business system

Edward is impressed and eager to know more. Debbie then talks about the ClickLearn Recorder and what exactly is a ClickLearn recording. She explains the edge that a ClickLearn recording has over manually written steps for teaching a business process flow. Recording business processes and creating great training materials and documentation with ClickLearn Studio will save you a lot of time, compared to any other method.

Recorder overview

When creating a new recording with ClickLearn you can capture the actions of a process in the systems you want to document. Once the actions are captured in the recording you can add conceptual information in the recording editor.

The big win for ClickLearn authors when compared to any other learning authoring software, is the templated, standardized formats you can customize to fit any corporate identity. Although it might seem restrictive, it is flexible in the fact that you can have as many templates as you might need.

The big advantage of the restrictiveness is also that this will generate very consistent documentation and training content, even when many different authors are involved. It is also important to remember, that ClickLearn can update the recordings for you, once that becomes necessary.

If you have been working with tools for screen recordings, you might also feel that the creativity has been taken out. But the great advantage in this concern is getting video content without doing any work at all.

As for the written documentation, the videos are also produced with a template that can be matching any corporate identity. ClickLearn can also update your videos for you very easily.

The Recording window provides various options that help you record the business process with ease. You can choose if you want to create an Automatic (multistep) recording or single step recording.

Debbie then explains to Edward about the assets or additional resources that can be added to a recording. The assets provide more information about the business process to the learners and at the same time enhance the presentation of the recording.

What are Assets?

An asset can be a text, image, audio, or video file in any format. It can be available on your computer or can be imported from the Web. 

You can add assets to the assets directory in ClickLearn Studio and provide a link for these inside a recording. The assets directory is a central location in ClickLearn, which all the authors working on a project can access.

Adding assets can be primarily useful when there are multiple authors working on a project in a cloud environment. In this scenario, if an author adds an image to a recording, which is saved on his computer rather than the assets directory, then the other authors will not be able to access or view the image. To make the image accessible to all authors in the team, it should be saved in the Assets directory in ClickLearn Attain.

There are two default directories available in ClickLearn Attain - Common Assets and Recording Assets.  The Common Assets directory is given as a template to the authors by ClickLearn. Here, you can save all the project management resources, such as an excel file for project schedule or the testing plan for your product. This helps you keep track of your authoring project. 

Whereas, in the Recording Assets directory, you can save any additional resource, such as an image or text file that you want to use in your recording. You can also add PDF-documents and link them from your recording content.

It is also possible for authors to create separate folders in ClickLearn Attain to save assets for recordings. Once saved in the assets directory, you need to reference these assets, maybe as an image, in the recording. 

Debbie mentions that making good documentation requires an investment in time and resources. When you are done with creating your training content, you need to publish the content to make it accessible for your learners.

Publishing content

ClickLearn Studio helps you share your learning content with your learners by publishing it on a wide variety of deployment platforms, ranging from a learning portal, share point to content cloud.  Based on your needs and preferences, you can select one or multiple deployment platforms that are best suited for your learners. 

What’s more – you can select multiple languages, in which you want your learning content to be published.  Also, you can select if you want to track your content usage, which helps you get some useful data for improving your content in future. 

That’s not all. You can define access rights for the learning content based on several parameters ranging from email address and domain to IP address. 

And before you go ahead with making your content live for your learners, the publishing analyzer gives you a report of any errors or warnings that you need to resolve for smooth publishing of the learning content. 

Once the publishing is done, you can see the deployment links. You can also see them in the publishing settings after publishing is done.
