Scenario

Hi Edward, when you create a Structure, there are some properties that you can add.

Do you mean add properties to the recordings?

Yes, you are right. There are some Meta Data Properties that you can add to the recordings. Let me explain.

What is Meta Data?

Meta Data is the data that provides information about other data such as time and date of creation, creator or author of the data, location, the standard used, file size, purpose, etc. Meta Data gives a clear description and context of the data you are providing. You might have come across a situation where you need to upload an image to a portal, you need to keep track of its dimensions like breadth, width, pixels, dimensions, format, etc. Similarly, in ClickLearn Attain, some Meta Data properties can be added for each recording.

What are Meta Data Properties?

ClickLearn authors are allowed to add metadata properties to the recordings. Using metadata can help the author keep track of the content created. It also helps organize and search for the content easily when creating a new project or working on an existing one. The metadata properties added for a recording are displayed in various formats produced with ClickLearn Studio, including Microsoft Word, PDF, and PowerPoint. This will be covered in detail in the upcoming missions.

Adding Meta Data Properties

Meta Data properties can be added from two screens – Structure and Settings.

As shown in the image above, you can add Meta Data properties from Structure by clicking on the recording, and then the right-side panel that opens will show the options to add details regarding the video.

Another method to add Meta Data Properties is from Settings, the left-side panel has the option to add Meta Data properties at the bottom as shown in the image above. This module covers this method of adding Meta Data properties.

There are different types of Meta Data properties that you can add. There are certain default properties that are system generated; you can also import metadata properties from an existing project to the current project. Meta Data properties can be customized from scratch as per your requirements. This helps organize your data precisely.

Default Properties
The Default Meta Data properties provided are:
  1. Description – It gives the option to add an alternative title and description
  2. HTML – This property helps add keywords that can make it easier to search for your videos using those keywords
  3. Document – In this property documentation-related fields like ID, process, topic, author, editor, approver, status, revision, and revision date are added

You can save your changes once you add all these default properties.

Import from an existing project

For instance, you want to copy metadata settings from a project you had created earlier to the current project. To import properties from an existing project, you need to select Add from template option in the Options menu. In the dialog box that opens, select Import properties from an existing project to see all the projects created in the dialog box that opens. This saves you from the effort of adding meta data properties multiple times.

Customize Properties

As the name suggests, this option lets you customize and add properties from scratch. Adding customized properties to your videos gives you the ability to detail out and organize your recordings. Some of the options available here are single-line text, multi-line text, number, single-select, multi-select, person, date, etc. There might be certain projects that need some custom properties to organize your data. For this, you need to select the Customize property type from the Create new field option.

The pop-up dialog box will show you the different property types and settings you can add for the custom property you are trying to create. On this dialog box, you will have the option to give a name to the property, specify if it should be a mandatory property, and set the type of property you want it to be. To specify if the property is mandatory, you need to enable the Field Required? option.

Type options - You can also define if you want to enable rich text formatting for the custom property here.

Default input - If you want to set a default input for the property, you get to set it in the Require input, after which the user will not be allowed to leave the field blank.

Field Description - If you feel the need to provide a short description of the property to avoid any confusion in the future, you can also provide a short description of the property.

Once all the details have been added, you can save your changes, automatically adding the new property to the list.

In addition to the options mentioned above, enable Allow users to edit properties on the fly? option, to allow the users to create or edit the metadata properties from the Recordings or Structure screens. If you do not want the users to create or edit meta data properties from the other screens, you can choose to not enable this option. This will allow the users to create or edit the meta data properties only from the Properties settings screen.
