Importing Recordings and Assets

Learning Objectives

  • Import recordings and assets to a project
  • Change referenced files to imported files

Scenario

Edward, you would agree that collaboration is effective only when can use reuse resources to reduce time and efforts to complete the project.

Yes Debbie. Does ClickLearn provide an efficient way to share and reuse project resources?

Of course it does. Let me explain.

Using Recordings and Assets as Shared Resources

One of the key objectives of collaborating on a project is to use the various project resources within the team effectively. This helps to ensure that the project can be completed swiftly.

While collaborating in ClickLearn Attain, you can import recordings and assets across projects and reuse these to save time and efforts. Attain provides you the option to import recordings as well as reference these as links in another projects.

You can add or link recordings from one project to another and organize recordings in your project into logical folders and sub-folders.

For example, you are creating a documentation project for inducting the sales department employees. There must be certain processes in the organization, which are common across all departments. So, you can easily reuse the recordings done for these common processes across documentation projects for each department. You can also import and reuse assets in multiple projects in the same manner.

Importing Recordings

To import recordings to a project, open the project and click the New button on the Recordings screen. Select the Import recordings option and browse to the location where you have saved the recordings that you want to import.

You can choose to import recordings from your computer or from the ClickLearn cloud storage.

Once you select the recording, you need to specify the destination location for saving the recording and click Confirm.

Linking Recordings across Projects

When you import recordings, only a copy of the recordings is saved from the source project to the destination project. In such a scenario, if any changes are made to the original recording, these will not be reflected in the imported recording.

In case you want all updates made in the original recording to reflect in the imported recording as well, you can choose to link the recording to the destination project. To do so, select the Use as reference check box in the Add a file to box.

For example, there might be an update in the application used in the recordings for the common organizational processes. If these recordings are added as a reference to the other projects, the updates will be shown in the linked recordings as well.

Switching Referenced Files to Imported Files

If at any point in time, you do not want the recordings that you have used as reference in your projects to be updated automatically, you can change these to imported recordings. To do so, select the Bring to project option in the context menu of the linked recording. The link is broken from the original recording and the recording is converted to an imported recording.

Importing and Linking Assets

Just as we import and link recordings across projects, we can also do the same with assets. For example, a “New employee induction” document is added to a project as common asset. You can import this across documentation projects for all departments.

To import assets, click the New button on the Assets directory screen and then select the Import assets option. You can select the Use as reference button if you want to link the asset in the destination project.

Activity Feed

All updates made to the recordings and assets in a project are displayed in the Activity panel on the right. The panel shows the changes made along with the date and time stamp.

You can mark these notifications as read or unread. You also have the option to create a task directly from any activity and assign to the relevant team member.
